Candidate Privacy Policy
According to applicable legislation, as a data controller, we present you our Candidate Privacy Policy regarding the processing of your personal data; this has the objective of detailing how we collect your data, the purpose of processing, how we use it, who has access to it, etc. This Policy also involves aspects regarding your privacy rights, which you can exercise as a data subject.
This notice is aimed for you, candidates that apply to jobs available at FEEL IT SERVICES.
About us
In this notice, “we”, “us”, “ours”, “FEEL IT SERVICES” refer to the company, its affiliates and all its subsidiaries. For further details about our company please consult the last section of this document. “You” refers to you, as a data subject in the position of a website visitor.
Protecting personal data that we process as a data controller represents one of the most important objectives in our business. We are aware of our responsibility for a secure and legally compliant processing. In order to achieve this, we commit to maintain a privacy management program, subject to continuous monitoring and improvement.
How we process your personal data
Collecting your personal data in the recruitment process is realized directly from you, when you are interested in a job available at FEEL IT SERVICES and you submit your resume (CV); it is likely that other data related to you will be obtained during interviews or CV and references verification (including public sources or third parties), in accordance with legal requirements.
Please take into consideration to include in your CV only relevant personal data, mainly such as identification and contact personal data, job history, qualifications, education, relevant achievements, etc. FEEL IT SERVICES will only process your personal data for the recruitment of personnel, with the following additions:
· Recruitment process may include: communication with the candidate, evaluation and/or verification of CVs and references, interviews and assessments
· If the job application is positive (successful candidates), the data will be used later in the Onboarding process within FEEL IT SERVICES
· If the job application is rejected (unsuccessful candidates), we will keep your CV for a limited time period to notify you about other available job opportunities in FEEL IT SERVICES, and to exercise our right of defense in case of action legal or complaints against us; you can always object to this and inform us (see chapter Your Rights) We collect and further process the following categories of personal data and other data from the evaluation process, such as:
· Identification and contact details: name, surname, phone, address, email
· Different personal data contained in CV, provided by you, such as birthplace, nationality, gender, etc.· Data related to professional life: previous jobs, employers, occupations, etc.; desired jobs, career prospects, desired salary, etc.
· Data related to studies, qualifications, experiences, references· Data related to the evaluation of candidates (including interview notes, screening, previous data held, as appropriate)
· Data about the correctness of CV and references provided by you, in accordance with applicable law
· Data about criminal records (if applicable for the job and according to law) We also may process sensitive personal data, such as health data (but only in order to make adjustments for the recruitment). The legal basis for the processing of personal data is our legitimate interest (by ensuring that our actions do not prevail over your rights and freedoms), your consent (where applicable), and / or the execution of the contract (regarding the processing operations carried out before the closing of the employment contract).
Retention of personal data
We will keep your personal data within a limited time frame of a maximum five years, in accordance with our internal policies and applicable law and we might contact you for other job opportunities meanwhile. At the end of this period, unless other compatible processing purposes and legal basis apply, your data will be deleted. If, at any point, you do not want for us to keep your data in our systems, please inform us, by sending us an email to: humanresources@feel-it-services.com
Disclosure of personal data to third parties
For reasons related to our legitimate interest, we may disclose your personal data to third parties, as long as this is necessary for our activities. Thus, we use various IT services (maintenance, applications and security), document archiving, and more.
We may also disclose your personal data to authorities, public institutions, attorneys, insurance companies, auditors, external consultants only when this is necessary or it is a legal requirement.
There might be situations when we disclose your data in order to protect your vital interest or the vital interest of another person. We may also act similarly whenever necessary for the establishment, exercise or defense of legal claims.
Internationals transfer of personal data
Independently of the third parties’ location, we will make sure that the personal data security is maintained (minimized and controlled access) and the data transfer (including outside of the EU where applicable) complies to the international privacy legislation (e.g. adequacy decisions, standard contract clauses, Privacy Shield);
Personal data security
We are accountable for protecting your personal data (collected directly or indirectly from you), therefore we are continuously focusing on the optimal functioning of our IT systems and all implemented technical controls. Only authorized personnel have access to your personal data, such as HR.

As a candidate, you have certain rights you can exercise, while we will respond according to all the applicable legal requirements. It is important to emphasize that some of the rights enumerated below may apply only partially under certain circumstances; for further details as well as for any request please contact us.
Thus, your rights are:
- To be informed regarding the way we process your personal data (this policy is an example of such information)
- To have access to your personal data that we might have (you can require us to provide you such information)
- To rectify your personal data (please contact us if you notice that your personal data is incorrect or if you want to update your CV)
- To erase the personal data (in order to eliminate the data we hold, whenever applicable)
- To restrict and / or object the way we process your personal data
- Data portability (supply the data in transferrable format)
- To withdraw consent, whenever the consent was given
- To not be a subject to automated decisions and profiling, which produce legal or significant effect – in this recruitment process
